Edit your application form
The form editor is where you shape everything an applicant sees and everything that happens after a decision. It lives in the dashboard at app.toscio.com.
The dashboard is available in 8 languages: English, French, Spanish, Portuguese, German, Turkish, Polish and Russian. It follows your browser language; to change it, use the language menu (the globe) in the top bar. This page quotes the labels of the English dashboard.
Open the editor
- Go to app.toscio.com and click "Log in with Discord".
- Pick your server under "With Toscio". You need Manage Server on it.
- Open "Forms" in the side menu.
- Click "Edit" on the form.
The editor lists its sections at the top: "Panel", "Questions", "Review", "Accepted", "Refused" and "Advanced". The header shows the form's status and its language (🌐), chosen when the form was created. On the right, "Preview in Discord" shows the panel, and its "Questions" tab shows the question window, as members will see them.
1. The Apply panel
Section "The “Apply” panel":
| Field | What it does | Limit |
|---|---|---|
| "Form name" | Title of the question window in Discord, and the name of the form everywhere. | 38 characters |
| "Panel channel" | Where the Apply button is posted. | |
| "Panel title" | The bold title of the panel message. | 256 characters |
| "Panel text" | Who can apply and what happens next. **bold** works. |
2,000 characters |
A ban appeal form has no panel channel: banned members can't see your server, so they apply through a link. See Web form and ban appeals.
2. Questions
Every question has:
- An answer type, picked in the menu at the top of the question (see below).
- "Question": the label shown above the field. 45 characters max, a Discord limit.
- "Details (optional)": a line of help under the label, up to 100 characters.
- "Answer required".
Use the ↑ and ↓ arrows to reorder questions and ✕ to delete one. Click "+ Add a question" to add one.
Question types
| Type | What the applicant gets in Discord |
|---|---|
| "Short text" | A one-line text field. |
| "Long text" | A paragraph field. |
| "Single choice" | Radio buttons with 2 to 10 choices, a dropdown above 10. |
| "Multiple choice" | Checkboxes with up to 10 choices, a multi-select list above 10. |
| "File(s)" | A file upload field: 1 to 10 files. |
All five types are included in the free plan and in Premium, and they work right inside the Discord form: the applicant never leaves Discord.
Text questions have two more settings:
- "Placeholder text": grey example text inside the empty field, up to 100 characters.
- "Min. length" and "Max. length": minimum and maximum answer length, in characters (up to 4,000). Without a max, Toscio uses 200 for short answers and 1,500 for long ones. The minimum only applies to required questions.
Choice questions have:
- "Choices": one choice per line, 25 at most.
- For a single choice with more than 10 options, "Dropdown text": the text shown before anything is picked, for example "Pick your game".
- For multiple choice, "Boxes to tick, at least" and "At most": how many boxes the applicant must and can tick.
A single checkbox works well for a rules acknowledgement: make a "Multiple choice" question with one choice, such as "I have read the rules", and mark it required.
File questions have:
- "Number of files, at most": 1 to 10.
- "Accepted files": "Images only" or "All files".
Files are copied as attachments onto the staff card, up to 10 MB in total per application, so your staff can open them right in Discord. If an application has more than that, the card lists the files that couldn't be copied, and their link only stays valid for 24 hours. See Reviewing applications.
Steps of 5
Discord forms hold 5 fields at most, whatever their type. The editor shows "Step 2", "Step 3" and so on where each new window starts. The applicant answers 5 questions, sees "Step 1/3 saved. 2 more to go." and clicks Continue. Answers are saved at each step; an unfinished application expires after 24 hours.
| Plan | Questions per form |
|---|---|
| Free | 5 (one window) |
| Premium | 25 (up to 5 windows) |
The counter above the questions shows where you are, for example "5/5 questions (free plan)". See Premium for more. The web form shows every question on a single page instead.
Put the questions that filter the most first. For inspiration: staff application questions and FiveM whitelist questions.
3. Staff review
Section "Staff review":
- "Staff channel": where each application arrives with the Accept, Decline and Interview buttons. Make it private.
- "Staff roles": up to 10 roles. They're mentioned on each new application and can decide. Members with Manage Server can always decide.
- "Decide by staff vote", Premium: turn on the switch, then set "Votes needed", from 1 to 25 (3 when you turn it on). Leave the switch off for no vote.
With staff votes on, each staff card gets two more buttons, 👍 For and 👎 Against. As soon as the For votes or the Against votes reach your number, the application is accepted or declined automatically and the card says "Decided by staff vote". Accept and Decline stay available for a direct decision. See Staff votes.
4. If accepted
Section "If accepted":
- "Roles given": up to 10 roles given on acceptance.
- "Roles removed (optional)": up to 10 roles removed on acceptance, for example an "Unverified" or "Applicant" role.
- "Direct message to the applicant": your message, up to 1,500 characters, added under "✅ Your application on Server has been accepted!".
Roles placed above Toscio's role are greyed out: see the role order rule.
5. If refused
Section "If refused":
- "Direct message to the applicant (optional)": up to 1,500 characters. The reason typed by the staff member is added below it.
- "Wait before applying again": in hours, from 0 (right away) to 720 (30 days). Default: 24.
6. Conditions to apply
At the bottom of the editor, "Advanced settings" groups two optional sections. Each one shows a short summary ("Off", "On" or the number of conditions set): click it to open the section. The first one is "Conditions to apply". Everything here is optional and included in both plans:
| Field | What it does |
|---|---|
| "Minimum Discord account age" | In days. Younger accounts can't apply. Empty = no minimum. |
| "Minimum time on the server" | In days, counted from when the member joined. Empty = no minimum. |
| "Required roles" | The member needs at least one of these roles, for example "Verified". |
| "Excluded roles" | A member with one of these roles can't apply, for example "Muted" or "Already staff". |
When a member who doesn't meet a condition clicks Apply, the form doesn't open. Toscio tells them privately what's missing and, for the time-based conditions, when they'll be able to apply. For example: "Your Discord account is too new to apply here. You can apply in 5 days." or "You need one of these roles to apply: @Verified." The same checks run on the web form.
A minimum account age and time on the server are a simple way to keep out alt accounts and raiders.
7. Web form
Also under "Advanced settings": the "Web form" section, Premium. Turn on "Offer the web form" to get a public page for this form at app.toscio.com/apply/<form id>:
- the link appears below the switch, with "Copy" and "Open";
- your panel in Discord gets a second button, Apply on the web (its text follows the form's language);
- applicants log in with Discord, answer every question on one page, and follow the answer on that same page.
The same rules apply as in Discord: the applicant must be a member of your server, meet your conditions, wait out the cooldown, and have no other pending application. Full details in Web form and ban appeals.
Save and publish
As soon as you change something, a bar appears at the bottom with "Unsaved changes":
- "Save", or Ctrl + S. If the panel is already in Discord, it's updated in place: "Saved · panel updated in Discord". If you changed the panel channel, the panel moves there: "Saved · panel moved to #channel".
- "Save and publish": shown when the panel isn't published yet. Saves, then posts the panel.
- "Discard changes": goes back to the last saved version.
If a field is invalid, the message "Some fields need fixing" appears, each field shows what's wrong, and a dot marks the section in the menu at the top. If you leave the page with unsaved changes, the dashboard asks first: "Leave without saving?".
Manage your forms
The "Forms" page lists your forms with their status:
| Status | Meaning |
|---|---|
| "Open" | Members can apply. |
| "To publish" | Open, but the panel isn't in Discord: nobody can apply yet. Click "Publish the panel". |
| "Closed" | You closed it. The panel button shows "Applications closed" and is disabled. |
| "Paused" | Outside your plan's limits, usually after Premium ended. Nothing is lost. |
On each card:
- The "Applications open" switch opens or closes the form. Closing keeps the panel and all applications.
- "Edit" opens the editor.
- "View in Discord" jumps to the panel, or "Publish the panel" posts it. A ban appeal has no panel and shows "Copy the link" instead.
- "Delete" deletes the form and all its applications, and removes the panel. It's permanent ("Delete for good"): to pause applications, use the switch instead.
Create a new form
Click "+ New form". The window has two steps:
- "Template": at the top, choose the "Form language" among Toscio's 8 languages (it starts on your dashboard language). Then pick a template and click "Continue".
- "Channels and roles": choose the "Channel for the “Apply” button" and the "Staff channel". Toscio pre-selects channels whose name fits, such as
#applyor#staff, and says so under the field: change them if needed. Then, optionally, the "Role given when accepted" and the "Staff roles". A channel or role is missing? Check that Toscio can see it in Discord, then click "Refresh the list".
Finish with "Create and publish" to post the panel right away, or "Create without publishing" to open the editor and publish later. After "Create and publish", the window says "It’s live!", with "Open in Discord" to try the button yourself, "Customize the form" and "Done". If Toscio can't post in the channel, you get "Created, but not published" with the permissions to fix, and "Try publishing again".
The form language sets the language of the template questions, the panel and the staff cards. Messages sent to applicants always follow each applicant's own Discord language.
The "Ban appeal" template, marked "Premium · web", is only available here, not in /toscio setup. It creates a web-only form with no Discord panel. See ban appeals step by step.
The free plan allows one form. With Premium, you can have up to 25, all open at the same time.
Questions
Why are my questions split into steps?
Discord forms (modals) hold 5 fields at most. With more than 5 questions, Toscio shows them 5 at a time and the applicant clicks Continue between steps. The web form shows every question on one page.
Do I need to repost the panel after editing?
No. When the panel is already published, saving updates it in Discord automatically. If you change the panel channel, Toscio moves it.
What kind of questions can I ask?
Short or long text, a single choice (radio buttons or a dropdown), multiple choice (checkboxes or a multi-select list) and file uploads (1 to 10 files, images only or any type). All of them work in the native Discord form, on both plans.
Can I stop brand-new accounts from applying?
Yes. Under Advanced settings, in Conditions to apply, set a minimum Discord account age and a minimum time on the server, in days. You can also require a role or exclude one.
