Troubleshooting

Updated 18 October 2026

Most problems come from three things: Toscio's role is too low, the bot can't see a channel, or the form is outside your plan's limits. Find the message you saw below; each fix takes less than a minute.

Quick check that fixes most issues: in Server Settings → Roles, drag the Toscio role above the roles it gives, and make sure it can see both your panel channel and your staff channel. See Permissions.

The role isn't given on acceptance

Message on the card: "⚠️ Could not give the role: in Server Settings → Roles, move the bot's role above the role to give, then try again."

The application stays pending. To fix it:

  1. Open Server Settings → Roles and drag Toscio above every role it gives or removes.
  2. Check that Toscio still has the Manage Roles permission.
  3. Click Accept again on the card.

If /toscio setup warned you that "The @role role is above the bot's role", it's the same fix.

/toscio setup refuses my role

Message: "The @role role is managed by Discord or another bot: pick another role."

Booster roles, bot roles and @everyone can't be given by anyone. Create a normal role (for example Whitelisted) and choose that one.

The panel isn't posted

Message after /toscio setup: "Could not post in #channel. Give the bot the "View Channel", "Send Messages" and "Embed Links" permissions in that channel."

In the dashboard: "Saved, but the bot can’t post in that channel: check its permissions".

  1. Right-click the channel → Edit Channel → Permissions.
  2. Add the Toscio role and allow View Channel, Send Messages and Embed Links.
  3. Run /toscio setup again with the same template, or click "Publish the panel" in the dashboard.

I deleted the panel by mistake

Nothing is lost. The dashboard notices it: the form shows "To publish" and "Panel not published". Click "Publish the panel" on the "Forms" page, or run /toscio setup again with the same template.

A member's application doesn't reach the staff

Message the member sees: "Your application is saved, but the bot could not deliver it to the staff. Please tell an administrator."

Toscio can't post in your staff channel.

  1. Give Toscio View Channel, Send Messages and Embed Links in the staff channel.
  2. If the form has file questions, also allow Attach Files there: the files are attached to the card.
  3. Ask the member to click Apply again and resend.

The same message can show on the web form, with the same fix.

"Files too large to copy to Discord"

Message on the card: "⚠️ Files too large to copy to Discord (link valid for 24 h): file names"

Toscio copies up to 10 MB of files per application onto the staff card. Files past that limit aren't attached: the card only lists them, and their link is valid for 24 hours. Open them soon, and save what you need.

To avoid it, lower "Number of files, at most" or choose "Images only" in the form editor, and say in the hint what you expect, for example "One screenshot".

The staff role isn't notified

The card says "@Staff New application" but nobody gets a notification: the role probably isn't mentionable. In Server Settings → Roles → your staff role, turn on Allow anyone to @mention this role, or give Toscio "Mention @everyone, @here and All Roles" in the staff channel.

The interview thread doesn't open

Message: "Could not open the interview thread: make sure the bot can create private threads in the panel channel."

Interview threads are created in the panel channel, not the staff channel.

  1. In the panel channel's permissions, allow Toscio Create Private Threads and Send Messages in Threads.
  2. If the panel is in an announcement channel, move it to a regular text channel: Discord doesn't allow private threads there.

The applicant didn't get the DM

Messages on the card:

  • "The applicant blocks direct messages: let them know yourself."
  • "The applicant turned off messages from the bot: let them know yourself."

The decision was applied anyway. Discord doesn't let bots DM members who block DMs from server members, and Toscio respects members who clicked Stop these messages. Contact the member another way, for example by mentioning them in a channel.

For applications sent from the web form, the card says "The applicant will see the answer on their application page." instead: the answer shows on the page where they applied. That's the usual case for ban appeals, since Discord rarely lets a bot DM someone banned from the server.

Members see "Applications are closed for now"

The panel button shows "Applications closed" and is disabled. Two possible reasons:

  • The form is closed: on the "Forms" page its status is "Closed". Turn the "Applications open" switch back on.
  • The form is paused ("Paused") because Premium ended. On the free plan, only one form with 5 questions or fewer can be open. Pick which one with the switch, reduce it to 5 questions, or get Premium back. Nothing was deleted.

"This form is no longer available"

The form behind that button no longer exists:

  • On a panel: the form was deleted, but an old panel is still in a channel. Delete that old message in Discord and use the current panel.
  • On a staff card: the application was deleted, for example because the member deleted their data with /toscio privacy. There's nothing left to decide; you can delete the card.

A member can't apply: account too new, joined too recently or missing role

Messages the member sees:

  • "Your Discord account is too new to apply here. You can apply in …."
  • "You joined the server too recently to apply. You can apply in …."
  • "You need one of these roles to apply: @role."
  • "You cannot apply with the @role role."

These come from your "Conditions to apply", under "Advanced settings" in the form editor: minimum account age, minimum time on the server, required roles and excluded roles. They're working as intended. If a member should be let in, lower the number of days, give them a required role, or remove the excluded role.

Members can't apply again

These messages are expected behavior:

  • "Your application is already being reviewed. You will get the answer by direct message." One pending application per member and per form. Decide on it first.
  • "Your application has already been accepted." The member still has the accepted role. If they should reapply, remove the role.
  • "Your last application was declined. You can apply again in …." The cooldown after a decline. Change it in the form editor under "Wait before applying again" (0 = right away).

"This application has expired"

Message: "This application has expired. Click "Apply" again to start over."

The member started a multi-step application and waited too long (more than 24 hours), or the form was closed in the meantime. They need to click Apply again.

"This application has already been reviewed"

Another staff member decided first, or an interview is already open for it. Refresh the card or check the dashboard.

"Only staff members can review applications"

The person who clicked doesn't have Manage Server or one of the form's staff roles. Add their role in the form editor under "Staff roles".

I can't see /toscio or /toscio setup won't run

Type /toscio and pick setup in the list: the old /setup command is gone. /toscio setup only works inside a server, for members with Manage Server. If you see "You need the "Manage Server" permission to set up applications.", ask an admin. If /toscio doesn't show up at all, restart Discord: new commands can take a moment to appear.

/toscio setup says the free plan allows 1 form

Message: "The free plan allows 1 form, and this server already has "…"."

Run /toscio setup with the same template as your existing form to change its channels and roles, edit it in the dashboard, or upgrade to Premium for up to 25 forms.

I can't add more questions

The "+ Add a question" button is disabled at 5 questions on the free plan. Premium allows 25.

The vote buttons don't show

For and Against only appear on staff cards when both are true:

  • the server has Premium;
  • "Decide by staff vote" is turned on for the form, with a number in "Votes needed", under "Staff review" in the form editor.

Cards already in the channel before you turned votes on get the buttons the next time they're updated, for example after a vote from the dashboard. New applications have them right away.

The Export button shows "Premium"

CSV export is a Premium feature. On the free plan, "Export" links to the Premium page. See Export to CSV.

The web form says "Join the server first to apply."

The web form uses the same rules as Discord: only members of your server can apply (except on ban appeals). The person is either not on your server, or logged in with another Discord account. Ask them to join with your invite link, then reload the page. If it's the wrong account, they can click "Not you?" on the page to log out.

The page can also show the other usual messages (account too new, cooldown, application already pending): see the sections above.

The web form page says the form doesn't exist

Message: "This form doesn’t exist or is no longer available online."

  • The web form isn't turned on: in the form editor, open "Web form" under "Advanced settings", turn on "Offer the web form" and save.
  • Premium ended: web forms and ban appeals are paused until it comes back.
  • The form was deleted, or the link is incomplete. Copy it again from the editor.

"Ban not checked" on a ban appeal

Message on the card: "Ban not checked: give the bot the “Ban Members” permission to check it and lift it automatically."

Toscio can't read your server's bans, so it can't confirm the person is banned, and it won't be able to lift the ban when you accept. The appeal itself is fine. Give Toscio's role the optional Ban Members permission (see Permissions) for the next appeals. For this one, if you accept, lift the ban yourself in Server Settings → Bans: the card reminds you with "The ban could not be lifted".

With Ban Members, people who aren't banned get "You are not banned from this server: there is nothing to appeal." and can't send an appeal.

My server doesn't appear in the dashboard

  • You need Manage Server on it (or be the owner). If you just got it, log out of the dashboard and log back in.
  • Servers without Toscio are listed separately, each with an "Add" button. After adding the bot, click "I’ve added the bot, refresh": the server moves to "With Toscio".

Vote Premium didn't activate

  • Run /toscio vote in the server before voting: top.gg only tells Toscio who voted, not for which server. Run it before each vote.
  • Votes count every 12 hours, and voting again restarts the 12 hours instead of adding up.

"Oops, something went wrong" or "This interaction failed"

Messages: "Oops, something went wrong. Try again in a moment." (from Toscio) or "This interaction failed" (from Discord).

Usually temporary. Wait a few seconds and try again. If it keeps happening, tell us on the support server with what you clicked and when.

Still stuck?

Ask on the support server or write to contact@toscio.com. Include the exact message Toscio showed, and what you clicked just before.

Questions

Where can I get help if my problem isn't listed?

Join the support server at discord.gg/ahRFXfdkww, or email contact@toscio.com. Include the exact message Toscio showed you.

Why does Discord say “This interaction failed”?

Toscio didn't answer in time, usually because of a short outage or a slow network. Wait a few seconds and click again.
